Last week, while building the Freelancer Hub, something hit me…

This same setup is also the perfect way to show off how to leverage relations and roll-ups, two of Notion’s most powerful database features.

At a high level:

  • Relations let you connect your databases together (think: link clients ↔ projects ↔ tasks).

  • Roll-ups then summarize that connected data (like: total estimated hours across tasks linked to a single project, or total revenue tied to one client).

Once combined, you can:

  • See how much time your team is really spending per client or project

  • Pull in high-level summaries without ever touching a spreadsheet

  • Create dashboards that instantly surface the insights you care about most

The result?

Databases that don’t just store information, they think across each other.

🛠 How to Add Relation & Roll-Ups to Notion Databases:

  1. First, you need at least 2 databases (Use my Freelancer Hub Template)

  2. Decide which data from Table A would be valuable in Table B (e.g., project hourly rates next to tasks for that project)

  3. Add a Relation property in Table B

    1. Decide whether you want this to be a one-way or two-way relation (Ask yourself: Would any data from Table B also be useful to have in Table A?)

  4. Add a Roll-Up property

  5. Select the Relation property you created

  6. Select which property from Table A you want displayed in Table B

  7. Select how you want that data from Table A to be displayed (e.g., original values, sum, average, etc)
